Hosting an event at Australian Parliament House (APH) is a unique opportunity to engage directly with policymakers and key stakeholders — but it also comes with its own set of requirements and considerations. Based on our recent experience, here are a few key tips to keep in mind when planning an event at APH.

  1. Understand the approval process early
All events at APH require formal approval. Timelines and availability can vary, so it’s important to start planning early, and factor in time for clearances.
  2. Be mindful of other events happening onsite
APH is a busy environment, with multiple events often taking place on the same day. While visibility into other bookings can be limited, it’s worth doing your own research and remaining flexible with timing and spaces to avoid clashes.
  3. Plan for security and access
All guests must pass through security, and access to certain areas is restricted unless escorted. Clear communication with attendees ahead of time is essential to ensure a smooth experience.
  4. Get approval for branding and materials
Bringing in banners, signage, or promotional materials requires prior approval. Keep designs simple and allow time for review.
  5. Keep logistics tight
From bump-in and bump-out times to room access and AV requirements, APH operates on a structured schedule. Having a clear run sheet, and ensuring you and your team are strict with timings is key for the best outcomes.
  6. Make the most of the setting
Events at APH carry weight — it’s a chance to bring important issues directly into the national conversation. Thoughtful programming and the right mix of speakers can help maximise impact.
  7. Focus on the experience
Whether it’s a breakfast briefing or panel discussion, creating a welcoming and well-run event helps foster meaningful engagement and lasting connections.

Planning an event at Parliament House can feel complex, but with the right preparation, it can be incredibly impactful.

At Fifty Acres, we regularly support organisations to navigate these environments; from approvals and logistics through to stakeholder engagement and event delivery;  ensuring important that there are important conversations amongst the right people,  in the rooms where decisions are made.
